Hey Diane, maybe you should add an arrival section on your Excel sheet for early in the week arrivals. If they don't make the "By invitation only" list I am sure there are some locals ready to step up during the week for " unofficial runs" and you may "quote" me on that.

Good Idea! We were thinking the long distance haulers might need a little more time to get in the runs they would like to do.

Mike, I am available to lead or follow any or all of the runs, subject to the constraints that we have previously discussed.
I am going to make at least one trip up there this summer to help with the mapping. My preference would be to make it a long weekend, either Fri-Sun or Sat-Mon, and do all of the runs at once. Weekends are just getting too full to take many of them for the same thing.
Based on the experience that Glenn and I just had with the Madison pre-run I have a suggestion for what seems to be a very effective route planning procedure:
1) Do the initial planning using Mapsource to create a route.
2) Do a pre-run attempting to follow the route, with a video camera in the car.
3) Note changes, problems with the route or with the roads, added information needed, etc.
4) Revise the route, and, depending on the complexity of the modifications, repeat 2, 3, and 4 as needed.
The in-car video allows review of each turn, and is a very solid record of exactly what needs to be edited. The setup that I use also records the GPS voice instructions and the view of the GPS during the run. Audio "notes" can be added as well, since all in-car sounds are recorded. The video, edited if necessary for changes, can be used for "practicing" the run, and could be disributed to anyone who wanted to get familiar with the "visual cues" without leaving home. It won't be a substitute for actually driving the run, but it would be a big help.

And that's why I religiously drive almost 500 miles one way to make the trip a few times/year! Well worth it!
Like Wartie suggested, we'll keep track of who is coming in early or staying late on Sunday and try to accommodate as many long haulers as we can.

JRinKY...you idea is good...once the mapping is done.
To do the short route...we can't use Mapquest in the beginning
because...bluntly...we don't know where we are going.
This is true of the past too...it's how we have always built the routes.....
it's called Trial and Error.
Currently we are "stopped" at Birds Nest"...our goal is to get to River road.
There are many roads we could use....we just don't know the condition of same roads...some may not be SOL-worthy....so we go out and drive each of those roads.....make a decision and when the
mapping is done..then we run it with video camera and install it on Mapquest.
Everybody is being so helpful already and all suggestions are greatly appreciated.
