I just spotted this thread. Good idea! We also have two race tracks in the area, Nelsons Ledges and Mid Ohio Raceway. Mid Ohio had Pontaic Weekend last year (June).
The Rock & Roll Hall of Fame does rent out to groups also. I have been there for an event and it was great.
Just tooting our horn a little.

Just my observation...but I think the only hotels big enough to handle this event are in Akron..in the Fairlawn area...the Hilton and the Sheraton...and they are close to each other. Plenty of places to eat in the area.

We need to find out how the HoF people do it.
I know they don't use just one hotel...but the one on Market by Tusc (Hilton??) seems to be where the banquest etc take place

the place to start if you are serious is the chamber of commerce..they should have a visitors department which in turn should have a listing of all hotels in the area and what their capacities are to handle banquets, rooms etc.....then you need to contact the hotel directly to discuss options etc......there are lots of negotiation tips here....what to ask for, how many, rooms on either side of the date of the event, whats included whats not included...room rates based on the size of rooms blocked...free rooms per nights booked..., iability insurance, lots of other issues.....get a price list from them....meet and greet, banquet vs buffet.......lots more to share than I can list here...also keep in mind a threshold that folks are willing to pay for rooms and then add registration fees on top of that.....
hotels that can host conferences, might not be able to host a like number in a sit down buffet or banquet dinner...they arent necessarily mutually exclusive....
bottom line....one person must deal with the facilities, a single point of contact who will sign the contract when the time comes.....there will probably be lead times as to when you must commit.....so be prepared for that....planning times have increased each year that I have seen the NASSM grow.....and of course....the more folks you have.....the more detailed the planning factors........just some thoughts for consideration here...

There is also a Sheraton in Cuyahoge Falls with easy access.

The Rockside Road & 77 area is noted for handeling this type of event. The Holiday Inn constantly handles conferences at that location. They also have a large extra lot in back that is used for out side events. Just across the street is a Hilton & a Sharaton. I know it is north but it is easy to get to.

Why should a newbie with no interest in planning an event plunk down $25 for NASSOA membership? A newsletter? Until that changes, I think NASSOA is missing a chance to really capitalize on growing the ranks.
any organization that provides liability insurance coverage must rely on memberships from all, not just an event organizer....a $1M policy isnt cheap....as with other organizations, there are vendor discounts on aftermarket items as well....all organizationa go through growing pains when first introduced...so one would expect some degree of patience.....

I have always wanted to visit the HOF drove past it one time, but was on a tight schedule and could not stop. Count me in, if 2010 is in Ohio, or another location of similar distance.

I would most definitely support a OHIO event in 2010. As a "car show person" of 25 years, tons of car shows, car Cruz's and weekend events. I will state for the record that T2TR was without a doubt THE MOST organized, fun, and thrilling event I have every been to in 25 plus years. I was impressed with all the organization, down to just the little stuff, I was very impressed with the great road trip ( I never knew the roads in Ohio were so great. I was also impressed that the hotel we had, had a dead end, meaning we could stage our cars very easily. The Sat night dinner could easily handle 300 or more.
The problem with hosting in LARGE cities is that they are not car club friendly, meaning, less areas for ALL cars to park, way too many other cars on the road ( which is no fun when you are running twisties) Food and accommodations are always more $$$$$. Supporting smaller area's helps the community and they are more willing to support a huge event plus for those traveling great distance the cost of food and hotel is cheaper.
D2, I know you don't want to take the lead because it is a huge undertaking but let it be know that you and the rest of your crew did a BANG up dam good job and that area would be a great location for 2010.
Since I live in the Carolina's and it does take 8 hours to get there, let me show my support for OHIO being the 2010 event, by that time we might even have an established Carolina's group.
Yes there are other areas that maybe people might want to host 2010 but remember that most of us not only want to hang with our Kappa friends but we WANT to put our cars through the course....they were made to drive (sometimes hard) ......they were made for twist and turns and all out bum scrapping bumps!!!!. These are FUN cars, events that host large groups need to provide those fun drives. The hotel and party stuff are secondary to the true car Cruz lover, gives us a fun place to play and we will be happy!!!!!!!!!

This is kind of my concern.
If we hold this event in Ohio in 2010, it will be a huge event IMO. The further north you move it in the Canton/Akron area, the farther you get away from the grade A driving in SE Ohio.
While having connections with a race track is a great idea for this kind of event...and certainly something to consider highly...there are a lot of communities with race tracks. There aren't many areas that have the scenic twisties that SE Ohio has. I think the emphasis should be on staying as close to the twisties as possible...while considering a spot that can host a 250 vehicle/400+ attendee event. If we can throw a track event in on top of it, bonus.
